ATTENDANCE POLICIES and PROCEDURES

*Due to high call volume, email is the preferred form of communication.
Attendance requests are processed in order received and may take 1-2 business days. Please refrain from sending multiple requests as this further delays processing. The attendance office is not able to “confirm receipt” of emails, voicemails etc. Refer to your Infinite Campus account for any details regarding attendance, grades, schedules and more! Make sure to turn on your attendance updates notifications.

ABSENCES
William S Hart Attendance Policy
Students who are habitually absent may be referred to our school attendance review board SARB (Page 14-16).
Daily Attendance phone calls are automatically generated to the primary contact phone number on the student’s account. We are not able to remove a phone number from receiving Daily Attendance phone calls as this will prevent the parent/guardian from receiving emergency calls.
If you feel there has been an error in an absence reported please contact the student's teacher directly via email. The teacher will then email the attendance office if a correction needs to be made. We must have documentation from the teacher to make any changes.
Parents/legal guardians are asked to contact the school to report an absence on the day of the absence.
There are 4 ways to report an absence:
- Email the Attendance Office
- Send a handwritten or typed note with your signature. Your student can deliver it to the Attendance Office when they return to school
- Leave a voicemail @ extension 1109
- Send a message through Parent Square
Please disregard any automated notifications that you may receive if you have already cleared the absence.
Per district policy, upon 14 or more days of excused absences, we may request that any further absences for illness be verified by a physician. If there are persistent health problems that we should be aware of or if you need access to support services, please email your students counselor directly. California Healthy Families is available to assist at 1-800-880-5305 with low-cost (SCHIP) or free (Medi-Cal) healthcare information.
TRUANCIES
A student will be considered truant if the student leaves class and/or the campus for any reason without obtaining prior permission. No partial or full-day truancy will be cleared after the fact. Students who aid other students in being truant will be disciplined. Tests, homework, or class work missed as a result of truancy cannot be made up.
TARDIES
Rio Norte’s proactive policy is intended to encourage students to be on time and ready to learn when the bell rings. Any student not present in the classroom upon the conclusion of the late bell will be marked tardy by the teacher. Students will be recorded as absent should they arrive 30 minutes or more late (Ed Code section 48260)
5 tardies - 2 lunch detentions assigned (5 demerits) and consequences
10 tardies - 4 hours of after school detention assigned (10 demerits) and consequences.
From time to time tardy sweeps will be conducted and students will be assigned one lunch detention.
EARLY RELEASE REQUESTS
Students leaving due to illness must be cleared through the Health Office
Please plan accordingly and notify the attendance office in advance when possible for any early release requests. We will do our best to accommodate you, but please remember to allow yourself ample time.
A request can be made by:
- Sending a note with your student to deliver to the Attendance Office the morning of (or before)
- Emailing* in advance no later than 2 hours prior
*For early release emails please write STUDENT PICK UP in the subject line
- Fill out a Student Early Release Request form no later than 2 hours prior
A parent/guardian photo ID is required to sign out a student off-campus during school hours.
The note/email for an early release request must include:
- Student’s Name
- Date & Time of Release
- Reason for Early Release
- Name of person you are authorizing to sign-out student (if applicable)
- Parent/Guardian name
Individuals listed as Emergency Contacts on your students’ profile, are for emergencies only (i.e. fire, earthquake etc.). You must inform the attendance office of an approved designated person each time if it is not you (the legal parent/guardian) planning to sign them out early.
